How do I run a South32 Rottnest Channel Virtual Swim event?

Firstly, you’ll need to purchase your fundraising package. The fundraising packages are based on how many swimmers you are expecting to participate. The tiers are:

 

Digital Pack – $30

This pack is perfect for a pool that has remaining merchandise from a previous virtual swim but would still like to be recognised as an official Virtual Swim and be able to purchase additional merchandise. This tier includes:

  • Digital certificate template
  • Digital posters
  • Registration templates
  • Pre-made social media content
  • Template press-release
  • Social media template posts/materials
  • Email support from the Rottnest Channel Swim Association

 

Basic (up to 20 swimmers) – $300 ($100 potential fundraising profit)

This tier includes:

  • 20x South32 Rottnest Channel Swim swim caps
  • 20x participation medals
  • 1x Retro corduroy cap (Swimmer)
  • Digital certificate template
  • 2x Hardcopy posters
  • Digital posters
  • Registration templates
  • Pre-made social media content
  • Template press-release
  • Email support from the Rottnest Channel Swim Association

The cost to you per swimmer = $15.00.

 

Bronze (up to 40 swimmers) – $550 ($250 potential fundraising profit)

This tier includes:

  • 40x South32 Rottnest Channel Swim swim caps
  • 40x participation medals
  • 2x Retro corduroy cap (Swimmer)
  • 1x South32 Rottnest Channel Swim Duffle Bag
  • 1x South32 Rottnest Channel Plush Towel
  • Digital certificate template

The cost to you per swimmer = $13.75.

 

Silver (up to 75 swimmers) – $850 ($650 potential fundraising profit)

This tier includes:

Gold (up to 140 swimmers) – $1500 ($1300 potential fundraising profit)

The cost to you per swimmer = $10.71.

 

After purchasing your pack, we will then share with you all of the information you need to run your event, including an example schedule, presentation ideas and a script to help you plan the day. Virtual Swim pack purchases close on Monday 11th of December 2023 or until sold-out.

How will swimmers register?

You decide! People could sign up in person at your local pool or swim club or send registrations to you by mail or online, you can decide what will work best for you. We’ll give you example registration templates and forms to get you setup and if you’re wanting to setup online registrations but aren’t sure how, lets us know and we can send you some recommendations.

What if I go over the swimmers I’ve ordered?

Should you get extra swimmers sign up, you will also be able to purchase extra merchandise at a discounted rate HERE including swim caps & medals. Please note, only pools/swimming clubs that have purchased a Virtual Swim pack will be able to purchase additional merchandise.

What are the Virtual Swim pack tiers?

You can select which tier works best for you. The tiers include:

If you purchase the Bronze, Silver or Gold package, you will also receive:

If you purchase the Gold package you will also receive a promotional pull-up banner that you can display at your pool to advertise the event.

I have leftover merchandise for last years event, do I need to purchase a new pack?

No worries at all! You can purchase the Digital Pack option which provides you with all the digital assets and support for your event without merchandise. This will also give you the ability to purchase additional merchandise should you want to update anything (including dated medal lanyards so you can reuse your medals). You will also be recognised as an official Virtual Swim event.

When do I run the Event?

The 2024 South32 Rottnest Channel Swim will be held on Saturday, 24 February 2024. We recommend holding your event on the same day to match the real experience. However, you can choose to hold your event on a different day if you’re unable to hold your event on the actual day. Keep in mind, all results need to be submitted to info@rottnestchannelswim.com.au by 15 March 2024 to be added to the Virtual South32 Rottnest Channel Swim Results.

I need more medals/swimming caps, what do I do?

After you’ve purchased your pack, you’ll be able to purchase additional medals and swim caps through our online store. You can order at any time but be mindful that the first batch of deliveries will start the 1st week of January and parcels can take 8-10 working days to arrive (dependant on shipping delays).

What if I’m not sure how many people I will get?

You can purchase your Virtual Swim pack at any time so you can confirm your numbers before purchasing a pack (be mindful that Virtual Swim pack purchases close on Monday 11th of December 2023 or until sold-out.). We highly recommend purchasing your pack early to get the most value out of the Rottnest Channel Swim Association’s support, including marketing and registrations. Packs are sent by AusPost in the first week of January and can take 8-10 working days to arrive (depending on shipping delays).

When will my pack arrive?

Virtual Swim pack purchases close on Monday 11th of December 2023 or until sold-out. Packs are sent by AusPost in the 1st week of January and take 8-10 working days to arrive within Australia (dependant on shipping delays). International deliveries will depend on the destination location, for more information, head HERE.

How much should I charge?

We recommend charging $20 per swimmer, no matter what category they swim in.

Consider keeping as close to this price as possible.

I can't pay by card to purchase my pack; what can I do?

That’s fine! Send us an email at info@rottnestchannelswim.com.au and we can send you an invoice so you can pay via direct deposit instead. Unfortunately, we are unable to accept cash or cheque payments.

How much could I fundraise?

In relation to fundraising, based on charging $20 per swimmer, pools and swim clubs could make:

 

Basic (up to 20 swimmers)                         $100 potential fundraising profit

Standard (up to 40 swimmers)                  $250 potential fundraising profit

Silver (up to 75 swimmers)                         $650 potential fundraising profit

Gold (up to 140 swimmers)                        $1300 potential fundraising profit

 

This is off registrations alone and we recommend supplementing this with other fundraising activities on the event day. This could include a sausage sizzle, raffle or whatever ideas you come up with!

What swimming categories do I offer?

The Virtual Swim categories for swimmers are:

 

Solo (continuous) – all swam in one day (aged 14+)

Solo (lap accrual) – swam over a month (aged 14+)

Duos – 2 swimmers (aged 14+)

Team – 4 swimmers (aged 14+)

Novelty Team – up 10 swimmers (aged 10+)

 

You will be provided with all of the forms to record the laps and times of each swimmer and, after the event, if you send the completed forms to info@rottnestchannelswim.com.au, they will be displayed on the South32 Rottnest Channel Swim website! All results need to be submitted by 15 March 2024.

What are the rules?

For swims to be recognised on the South32 Rottnest Channel Swim website that do need to follow the event rules. This will be provided to you when you purchase your pack. Alternatively, you can view them HERE.

What are the terms and conditions?

I don’t use social media – how else can I advertise?

We’ll provide you with printed posters to put up around your local area. We will also supply you with images you can use to promote your event. We’d recommend getting in touch with your local newspaper to explain what you are doing and they may be able to help you with marketing and promotion.

I don’t manage a pool or swimming club, can I still run my own Virtual Swim event?

Absolutely you can! You can get some friends and family together to run your own event! If you’re planning to run the event at your local pool, make sure to have a chat with them to make sure they’re happy for you to run your event there. The local pool may require you to hire lane space.

What about certificates?

We’ll provide you with a digital template so you can print off as many certificates as you’d like.

Can I downgrade my tier if I don’t get enough registrations?

Unfortunately, no. Make sure to carefully consider which tier is going to work for you. It may be a better option for you to purchase a lower tier and purchase any required extra merchandise through the online store. Be mindful that Virtual Swim pack purchases close on Monday 11th of December 2023 or until sold-out. You can purchase extra swim caps and medals at a discounted rate.

What do I need to send you after the event?

If you’d like the results from your swim displayed on the South32 Rottnest Channel Swim website, you will need to email us a copy of each of the solo swimmers, duo, teams and novelty teams, results sheets which will include their laps and times to info@rottnestchannelswim.com.au. All results need to be submitted by 15 March 2024.
